Lesson 4 of 5 · 6 min

Bills, approvals and check runs

Enter bills, route them for approval, commit them and pay, and bill costs back to residents where the lease allows.

Financial › Payables holds every unpaid bill. If your organization requires approval, bills and purchase orders wait on Financial › Approvals before they can be paid. With Require a second person for payables on, whoever enters a bill cannot approve it.

Pay bills

  1. Enter the bill on Payables with its payee, bill number, date, due date and charge code.
  2. Approve it on Financial › Approvals, or have the right person approve it. Approval rules are set under Setup › Bill approvals.
  3. Commit the bills you intend to pay. Committed bills are staged for a check run.
  4. Process. Processing prints checks against the committed bank account.
  • Put a bill on hold if it should not be paid yet. Held bills stay out of the payable list on purpose until the hold is released.
  • Vendor bills for maintenance can be generated from an approved purchase order on the work order.
The Collections list: leases owing, status and amount outstanding.
