Preparing owner statements

Get statements right the first time: close, check, annotate, share.

An owner statement is only as good as the month behind it. Prepare statements after the month is closed, never before.

  1. Finish the month-end close, including bank and trust reconciliation and Financial › Period close.
  2. Run management fees and the owner pay run so fees and distributions appear on the statement.
  3. Open the owner from Portfolio › Owners and go to their statement. Choose the statement period.
  4. Check the tie-out: the statement shows whether it ties to the general ledger and the trust ledger. Investigate any variance before sending.
  5. Review unpaid bills. Owners notice when a bill they expected is missing.
  6. Add Notes for the owner for anything unusual: a large repair, a vacancy, a change in fees.
  7. Check statement settings: summary, tenant names, transactions detail, unpaid bills detail, and whether management fees show separately from cash out.
  8. Share the statement. Owners see it in their portal; email delivery needs their consent under Setup › Consent agreements.
